REGIONAL TRANSIT AUTHORITY / New York, New York

CHALLENGE

A major transit authority, with jurisdiction over 46 facilities in New York and New Jersey, had an engineering library with more than 200,000 documents in microfilm and paper formats. The documents were critical in nature, describing bridges, tunnels, airports, seaports, subways, buildings and industrial parks. The challenge was to preserve the documents and make them readily available to a broad range of users.

ACTION

DMI created a digital document management system to migrate the transit authority’s drawing library to an electronic environment, so the documents could be stored, managed and easily accessed. The conversion process started with scanning a vast number of paper drawings and 35mm film aperture cards, before indexing them for easy reference. To ensure a high level of user acceptance, DMI’s software solution focused on straightforward search, view and print capabilities. Transit authority personnel were using the new system within six months, with the most critical and sensitive documents given top priority.

RESULTS

DMI changed the way the transit authority conducted their day-to-day business by moving them from paper, mylar and microfilm to a digital world. For an organization of this type, preservation of critical information was as important as being able to access the information quickly. Less than two years later, the true value of the project was proven when the drawing library, stored in the World Trade Center, vanished on September, 11, 2001. Within two days, DMI became part of a massive recovery effort by delivering an electronic copy of all critical documents to the transit authority for the World Trade Center complex and the PATH subway station below, reinforcing DMI’s reputation for outstanding performance under challenging conditions.
